From manual searching to RFID innovation: how we transformed the management of a cultural treasure.
Books, CDs and vinyl records are items of inestimable cultural value, but managing them in a traditional shop presents daily challenges: lengthy search times, inventories that halt business for days and the constant risk of shoplifting.
For our client, a point of reference for enthusiasts and collectors, these challenges were a bottleneck that limited growth and service quality. Together, we launched a digital transformation project that brought the bookshop into the 4.0 era.
The Challenge: Precision, Efficiency and Safety
The customer’s requirements were clear and urgent:
- Instant Search: Finding a specific title among thousands of volumes, often for an urgent customer request, was a slow and sometimes frustrating task.
- Real-Time Inventory: Taking inventory used to mean closing the shop and employing staff for days in a tedious and error-prone task.
- Anti-shoplifting security: Protect valuable merchandise, often small in size, without hindering the shopping experience of honest customers.
Our Solution: An Integrated, Cutting-Edge Ecosystem
We designed and implemented a tailor-made solution based on high-precision UHF RFID technology, a system that goes far beyond simple barcodes.
- The Electronic Gun for Intelligent Search
We have equipped our staff with a portable RFID scanner. To find a book, you no longer need to know its exact location on the shelf. Simply start a search on the device and, as if by magic, the locator emits an acoustic and light signal that intensifies as it approaches the object being searched for. A task that used to take minutes can now be completed in seconds, impressing customers and optimising the team’s work. - The “Effortless” Inventory System with 52-Beam
Antennas The technological heart of the project is the installation of intelligent 52-beam antennas on the ceiling. This revolutionary system is not just an anti-shoplifting device; it is a real-time tracking system.- Accuracy down to the square metre: Thanks to multi-beam technology, the system locates each individual tagged item with an accuracy of up to 2 metres, allowing you to check its exact position within the shop (e.g. ‘fiction section shelf, corset 3’).
- Continuous Inventory: The antennas continuously scan the environment, updating the inventory automatically and without the need for human intervention. The manager can access the software at any time and find out the exact stock levels without ever having to close the shop.
- Total and Discreet Anti-Theft
Protection Each book, CD and vinyl record has been fitted with a thin, invisible UHF RFID tag, inserted inside the cover. The same antennas on the ceiling discreetly but effectively monitor all movements of the merchandise, activating an alarm in the event of unauthorised removal beyond the checkouts. Security is integrated without the clutter of antennas at the entrance or invasive acoustic alarms.
